How to Live-Swap a UPS Battery; Safely

When an uninterruptible power supply (UPS) battery fails, it often triggers a loud, continuous alarm or displays a flashing battery error icon. In an enterprise environment, shutting down the server rack, NAS, or network switch connected to that UPS just to swap a battery means unwanted downtime.
Fortunately, UPS devices such as the APC Back-UPS Pro 1350 (BX1350M) support hot-swapping. This means you can replace the internal battery cartridge without powering down the unit or interrupting the critical equipment plugged into it.
Whether you are an end-user maintaining your workstation or a deployment technician following company infrastructure protocols, use this step-by-step guide to perform a hot-swap safely.

⚠️ Prerequisites & Safety Warnings ⚠️

  • Internal Voltages: While the UPS is designed for user-accessible battery replacement, internal high-voltage areas exist behind the main housing. Only open the designated bottom battery compartment.
  • Expect a Spark: When connecting the new battery terminal, a small spark is completely normal. Do not panic; this is simply the unit’s internal capacitors charging up.
  • Static Discharge: Ground yourself by touching a grounded metal object before handling the internal wiring to prevent electrostatic discharge (ESD).

Step-by-Step Hot-Swap Procedure

Step 1: Position the UPS

Carefully tilt or lay the UPS unit onto its side on a flat, stable surface. Ensure you do not pull, tug, or disconnect any of the power cords currently running from the back of the UPS to your live equipment.

Step 2: Open the Battery Compartment

Locate the battery compartment door on the bottom of the unit. Press down firmly on the two release tabs and slide the door completely off. Set the door aside.

Step 3: Extract the Old Battery Pack

You will see the battery cartridge inside. Grab the clear plastic pull tabs or handles attached to the battery pack. Carefully slide the cartridge about halfway out of the compartment.

Step 4: Disconnect the Wiring (If Applicable)

  • Disconnect Positive (Red): Carefully lift the edge of the battery to expose the terminal connectors. Disconnect the red positive cable first by pulling the quick-disconnect terminal straight off.
  • Disconnect Negative (Black): Disconnect the black negative cable next.
  • Once both wires are clear, slide the old battery pack completely out of the unit and place it safely on the floor or a workbench.

Step 5a: Prep and Connect the New Battery

  • Ensure you are using the correct replacement battery kit (typically two 12V 7Ah/9Ah batteries pre-wired in series to form a 24V block).
  • Slide the new battery cartridge halfway into the UPS slot and line up the internal rear connections and verify correct orientation (using the battery's labels) before fully inserting.
  • Fully press in the new battery and make sure it is fully seated/connected and continue to Step 6

Step 5b: If Re-Connecting Wiring:

  • Connect Negative (Black) First: Securely push the black wire connector onto the negative terminal.
  • Connect Positive (Red): Push the red wire connector onto the positive terminal. Note: You may hear a quick "pop" or see a minor spark here—this is expected behavior.

Step 6: Tuck Wires and Close Housing

Gently slide the battery cartridge all the way into the compartment. Carefully route and tuck the loose cables into the open spaces next to the pack to ensure they won't be pinched. Slide the battery compartment cover back on until the tabs click firmly into place. Return the UPS to its upright position.

Post-Replacement Verification:

Once the hot swap is complete, the UPS needs to recognize the new battery asset. Instruct employees to perform the following validation steps:
  1. Clear the Error: The "Replace Battery" LED or LCD icon should clear automatically within a few minutes.
  2. Run a Manual Self-Test: Press and hold the POWER button for about six seconds. You will hear a short beep, and the unit will execute a self-test. This forces the system to re-evaluate the health of the internal battery.
  3. Monitor Runtime: Check the LCD panel to ensure the estimated battery runtime has recalibrated to its full capacity based on the current load.

Environmental Compliance Note:

Lead-acid batteries are highly recyclable. Do not discard the old cartridge in standard trash bins. Log the replacement in the company asset manager and drop the old pack off at an authorized e-waste recycling center or return it using the box from your replacement kit.
